Scheduling Philosophy & Process | FAQs

We encourage you to think big with your creative visions, and we welcome your project proposals and requests for space! We’re lucky to receive numerous space requests each year – far more than can be accommodated. Thank you for your understanding and patience as we work to support the thriving arts community at Brown.

A: At BAI, we solidify the schedule for academic courses and BAI artistic programming first. Beginning mid-Spring semester, we will review requests for the following academic year from applicants in the following order of priority:

  • Faculty representing the Brown Arts Departments (Africana Studies / Rites and Reason Theatre, History of Art and Architecture, Literary Arts, Modern Culture and Media, Music, Theatre Arts and Performance Studies, Visual Arts).
  • Students and Student Groups working in the arts.

In September we will begin reviewing requests from all other campus constituencies.

Within each of these applicant groups, we evaluate requests with the following criteria in mind:

  • Space Availability
  • Resources available to support the work within that space (i.e. What AV + Tech is required for the event? Does it involve ticketing and/or a public audience?)
  • Fit to BAI Mission

A: As soon as you possibly can! While the online space booking form is open for the full calendar year, BAI only reviews requests on the basis of the timeline noted above. Plan your events in advance and be ready to submit when the form goes live. Please be aware that you may not hear back from us for several months after your request is submitted.

A: The Online Space Booking System is the primary request form and the one you should use for events you hope to execute within the next calendar year. It allows you to request the following spaces:

  • The Granoff Center for the Creative Arts
    • Atrium Gallery
    • Englander Studio
    • Fishman Studio
    • Kooper Studio
    • Martinos Auditorium
  • The Lindemann Center for the Performing Arts
    • Movement Lab
    • Performance Lab
    • William Riley Hall

The Main Hall Proposal Form is only for those with large-scale, ambitious project proposals, planned a minimum of two years in advance and in close collaboration and producorial oversight of BAI. We are currently accepting comprehensive written proposals for the 2026-2027 academic year.

A: Our ability to grant requests is based not only on the requested space being available, but on our having the resources required to fully support your event. In order to give you the best and most successful experience, we look holistically at the schedule and determine whether we have the resources to meet the unique needs of each project.
